Project Archivist/Archives Assistant Pegasus Knowledge Solutions (pksi.com), Evanston

 Full-time, six-month contract, $20-28/hour

We are seeking a skilled and organized Archivist to join our research team. The Archivist will be responsible for the acquisition, preservation, and management of research-related records, documents, and materials. The ideal candidate will have experience in managing research archives, ensuring that all materials are preserved, cataloged, and accessible to researchers, scholars, and team members.

Top Skills

  • Two-years demonstrated experience working in a professional archives setting.
  • Experience in the application of archival methodologies and standards (including MPLP and DACS) for organization and description of archival collections.
  • Working knowledge of the tools, technologies, and best practices used in the assessment, processing, preservation, and access of physical and digital archives.
  • Experience with archival collection management systems (i.e. ArchivEra, ArchiveSpace, etc.).
  • Experience with digital preservation systems (i.e. Preservica) preferred.
  • Excellent written and oral communication skills.
  • Ability to balance multiple tasks, responsibilities, and demands for time.
  • Ability to lift 50 lbs. and to ascend and descend ladders and stairs.
  • A valid Illinois driver’s license is required, and candidates must have their own personal vehicle.


This role reports to the Archives Manager and partners closely with the Senior Digital Archivist. It also builds strong working relationships with colleagues across communications and other cross-functional teams within the organization.

Job Responsibilities

  • Evaluate, appraise (archival) and select, arrange and describe archival materials and collections.
  • Identify and dispose of duplicates after selecting best preservation copies, re-housing and label materials.
  • Create item-level inventories, digitization manifests, and descriptive metadata for both collections in preparation for digitization.
  • Maintain collection records and notes related to all materials processed.
  • Update electronic inventories for tracking processing and digitization status.
  • Create/contribute to DACS compliant collection finding aids in ArchivEra for both collections and assist with ingest of digitized files into Preservica.
  • Maintain confidentiality in working with sensitive business records, personally identifiable information, and specific collection access and use restrictions.
  • Work with shippers, digitization service providers, and archives staff to pack and ship, shift and move collections, and make storage space upgrades.
  • Perform other related duties as assigned, including processing of other physical and audio/moving image collections, creating/reviewing/editing accession records and collection finding aids.
  • Participate in activities to promote discoverability of the collection and the organizational archives in general.

Minimum Qualifications

  • Processing Archivist: Requires a master’s in library or archival science or equivalent credentials and training in archives
  • Archives Processing Assistant: Open to candidates without professional archival credentials.
