Video Asset Specialist

Full Time, Temporary position (one year)

Rotary International is undertaking a project to organize and manage its born-digital video assets for preservation and access. Preserving these assets is of increasing importance given the risk of losing content due to inconsistent storage and backup. The video backlog project will address born-digital media created from approximately 2012-2016, creating a comprehensive inventory of assets and ensuring centralized organization, preservation, and access.

The Video Asset Specialist will work with a range of file types, including video and audio formats, creating preservation and access files. The position entails creating an inventory of our backlog of video assets, following a predetermined workflow process that involves digital file organization, implementation of naming standards, and file quality assurance.

Duties and Responsibilities

Under supervision of Heritage Communications team and in collaboration with the Visual Media team, the Video Asset Specialist will:

  • Create and clean up inventory lists, documenting details related to video shoots and productions
  • Find and organize born-digital video assets per established workflow
  • Create preservation and access files where needed
  • QC file quality and file naming
  • Delete duplication and assets no longer needed per Rotary’s retention policy
  • Centralize production documents, including contracts and model releases; work with team to fill in gaps
  • Document rights restrictions
  • Assists with revising and documenting workflow processes


  • BA/BS or MA (preferred) in library and information science, multimedia arts, or related field; or equivalent experience in archives, digital asset management, or multimedia arts-related disciplines.
  • Demonstrated experience with born-digital video assets and video archives
  • Knowledge of video and audio file types and codecs; and related preservation challenges
  • Experience with digital asset management systems and metadata best practices for video a plus
  • Experience with video production software a plus (Premiere, Final Cut Pro, EditReady/Renamer, and similar)
  • Excellent organizational skills and attention to detail
  • Ability to work independently with minimal supervision
  • Ability to work quickly and efficiently and to meet project goals and deadlines. 
  • Ability to establish strong working relationships with a collaborative and creative approach

Work will take place at Rotary headquarters in Evanston, IL.
