The Rights and Reproductions Coordinator increases visibility and use of CHM collections and generates earned revenue by facilitating the delivery of reproductions of CHM collection materials for internal and external use in publications, media, exhibitions, and other commercial and non-commercial uses; maintaining the rights-managed status of digital images of collection materials while ensuring adherence to copyright law, contractual agreements, and other relevant laws and guidelines; creating, evaluating, and improving descriptive and administrative metadata; and assisting the Rights and Reproductions Manager with other projects as requested


 ● Receive and prioritize internal and external requests for reproductions and permissions, negotiate usage terms and fees, prepare invoices, process payments, and coordinate on-time delivery of reproductions

● Prepare original materials for digitization, including retrieving requested collection materials, researching rights status, and coordinating digitization and delivery with the Photo Lab or external vendors

● Ensure that original collection materials are handled appropriately according to safe object handling protocols and returned to appropriate storage locations following digitization

● Evaluate intellectual property law and legal doctrine to determine how collection materials may be used by internal and external clients

● Utilizing the digital asset management system, create, verify, and enhance descriptive and administrative metadata for digital assets following national and local metadata protocols and procedures, and assist with batch metadata creation and cleanup projects

● With the Rights and Reproductions Manager, draft agreements, perform image research, and facilitate content delivery to support new and/or existing licensing partnerships.

● Accurately maintain databases and other systems for documenting service activities and tracking order status and payments

● If requested, oversee or assist with proactive digitization projects

● Provide clerical support as needed for activities that aim to increase visibility and efficiency of R&R services.

● Lift, carry, or otherwise move boxes or objects weighing up to 25 lbs.

● With Department Head and supervisor, participate in the development of policies, procedures, and strategies governing digitization, order fulfillment, and digital assets management

● Recruit, train, and supervise volunteers, interns, and work study students

● Create a team spirit and enhance communication within the Collections Department so that staff members work collaboratively and in a supportive manner across departmental and functional area boundaries
